Billing & Subscription

This page explains the default billing framework for Evidentity Dentistry diagnostics, strategic assessments, infrastructure implementation, recurring AI Recommendation Control, Strategic Protection, invoices, renewals, payment handling, and guarantee-related account treatment where no separate signed commercial document overrides these baseline terms.

Billing and recurring services

Evidentity Dentistry is operated by Evidentity LLC and may bill customers through one-time diagnostic fees, one-time strategic assessment fees, implementation fees, recurring monthly AI Recommendation Control, strategic managed-service arrangements, milestone billing, or invoice-based custom engagements.

The applicable commercial structure is defined by the current product page, accepted proposal, invoice, checkout flow, order form, or signed service agreement governing the customer relationship. Where a signed document establishes different billing terms, that document governs the specific engagement.

The standard public Evidentity Dentistry offer currently includes an AI Demand Diagnostic at $390 one-time, a Strategic AI Demand Opportunity Assessment at $1,200 one-time, AI Recommendation Control at $1,490 implementation plus $690/month for the ongoing managed operating layer, and Strategic Protection from $2,490 implementation for more complex environments.

Strategic Protection, dental-group engagements, international-patient architectures and other expanded scopes may carry customer-specific recurring fees, specialist requirements or implementation structures documented separately.

The current commercial page or accepted order remains authoritative if pricing or scope changes after this policy is published.

One-time services are billed according to the accepted commercial path and ordinarily become payable before substantive work begins unless an invoice or agreement establishes different terms.

One-time fees can cover research, AI recommendation testing, strategic analysis, treatment-market mapping, competitor analysis, Canonical AI Clinic Profile construction, Clinical Intelligence modeling, AI Site preparation, AI Demand Map calibration or another clearly defined implementation or assessment scope.

The relevant Refund & Cancellation Policy governs fee treatment once substantive work has begun.

AI Recommendation Control implementation is separate from the recurring operating layer. The implementation fee covers customer-specific infrastructure construction and activation, including the governed clinic identity, treatment and clinician architecture, AI-facing publication environment, baseline recommendation-market configuration and related specialist work required to establish the operating system.

Implementation billing therefore reflects work performed to create the clinic-specific infrastructure and is not treated as an advance payment for future monthly Recommendation Control.

The $690/month AI Recommendation Control service combines continued use and maintenance of Evidentity's proprietary infrastructure with the work of a dedicated AI Demand Operator.

The recurring service can include maintenance of the Canonical AI Clinic Profile, incorporation of material clinic changes, AI Site maintenance, observation of priority treatment markets, competitor substitution analysis, recommendation diagnostics, managed interventions, controlled re-tests, Recommendation Stability review and ongoing protection of the clinic's governed AI identity.

Recurring billing continues according to the active billing cadence until cancelled under the applicable cancellation terms or replaced by a different agreed commercial structure.

Where AI Recommendation Control or another service is billed monthly or on another recurring basis, the service renews according to the active billing cadence unless cancellation is submitted before the next billing date.

Cancellation stops future renewal. It does not ordinarily reverse charges for an active billing period that has already begun or work already delivered during that period.

Fixed-term or custom strategic engagements may instead operate without automatic renewal where that structure is stated in the relevant proposal, order form, invoice or agreement.

Where the account is operating under the Evidentity Progress Guarantee, ordinary recurring billing and guarantee-related fee treatment are separate concepts.

Priority recommendation markets are first measured against an agreed baseline. If no clear measurable improvement is achieved within the applicable six-month period, the account may enter the Guarantee escalation process described on the canonical Guarantee page. During the subsequent Senior Strategic Operator intervention period, the normal monthly AI Recommendation Control fee is suspended according to the published Guarantee structure.

If measurable progress remains absent after the additional 90-day intervention period, refund treatment follows the Guarantee terms. Guarantee-related fee returns are not ordinary cancellation refunds and are evaluated against the agreed baseline, recommendation markets and operating history.

Payment timing and due dates are determined by the applicable checkout flow, invoice, order form or commercial agreement. Customers are responsible for ensuring that invoices and recurring charges are paid according to those terms.

Implementation or diagnostic work may be delayed where required payment has not been received. Recurring service may be paused or suspended where invoices remain materially overdue.

Payments may be processed directly for Evidentity LLC or through an authorised payment processor, merchant-of-record, reseller or other commercial transaction provider.

Where an external transaction layer is used, that provider may handle payment authorisation, card processing, taxation, invoicing mechanics, refunds or buyer-payment support according to the role disclosed at checkout or in the transaction record.

The identity of the payment processor or merchant of record does not change the underlying Evidentity Dentistry service scope unless expressly stated.

Applicable taxes, duties or similar charges may be added where required by law or by the relevant transaction provider. Payment-processing or cross-border transaction fees may be included in or added to the transaction depending on the payment route used.

Pricing changes apply prospectively unless otherwise agreed. Changes to public pricing do not retroactively alter fees already incurred for a completed billing period or accepted order.

Failed card charges, expired payment methods, overdue invoices or other unresolved payment failures may result in delayed activation, temporary suspension of managed work, restriction of account access or termination where permitted by the applicable commercial terms.

Where service continuity is important to monitoring, AI Site maintenance or recommendation-market history, Evidentity may preserve underlying account records during a temporary billing interruption while suspending active operator work.

Multi-location dental groups, international-patient programmes, strategic specialist work and larger recommendation environments may use custom billing structures including staged implementation, deposits, milestone billing, expanded recurring retainers or other agreed arrangements.

Where a signed or expressly accepted commercial document exists, its billing, renewal, cancellation and payment terms govern that customer relationship.

Billing, subscription, renewal, payment-method, duplicate-charge, invoice and cancellation questions should be sent to hello@evidentity.ai.

Please include the clinic or organisation name, service name, invoice or transaction reference where available and the action requested.
